Direct bookings on WhatsApp for hotels and vacation rentals
Booking and Airbnb bring you guests who didn't know you yet. The problem starts when that guest wants to come back and you pay a commission again. This guide explains what each platform charges, what they let you do with the guest's contact details, and how to set up a direct WhatsApp channel that answers in Spanish and English.

Direct channel and platforms
A direct booking is one the guest makes with you, through your website, your Instagram or your WhatsApp, with no middleman charging for every night. The platforms are still useful: they're the storefront where people who've never heard of your hotel or villa find you.
The goal isn't to leave Booking or Airbnb. It's to close the inquiries that already reach your number right there, and to give the guest who left happy an easy way to come back to you. For that, someone has to reply fast, at any hour and in the guest's language. That's the job of a WhatsApp agent.
What each platform charges
Before working out how much a direct booking saves you, it helps to know what you pay today. The two most used platforms work differently.
Airbnb
Airbnb has two structures. With the split fee, the host pays one part and the guest pays another; for listings in Mexico the host's share is 4%. With the single fee, the host pays all of it; for listings in Mexico it's 16%.[1] The single fee is mandatory for most hosts, including those who use property management software, and software-connected hosts who weren't on it yet were moved to it on October 13, 2026.[1][2]
Booking.com
Booking.com charges a commission per booking that's set in each property's contract: the percentage appears at the agreement step during sign-up, and it's invoiced monthly. No commission is charged on bookings where the guest doesn't show up, unless you've set a no-show fee, or on free cancellations.[3] There's no single published percentage: yours is in your contract.
What you can't do with a platform's guest
The platforms protect their customers, and it's worth reading their rules before setting up a direct channel, because breaking them can cost you your listing.
- Airbnb doesn't allow asking the guest to communicate outside Airbnb before booking, asking for payments outside the platform, or offering discounts to book outside it.[5]
- Booking.com doesn't allow using its messaging service or the guest contact details it gives you to send unsolicited electronic communications.[6]
In practice, the direct channel is built with what's yours: your website, your Instagram, your number and a good experience during the stay. A guest who finds your number on your profile and messages you on their own is in your channel. Before messaging a guest who came through a platform, check that platform's contract.
What it should answer
At a boutique hotel or a vacation rental the questions repeat, even if they come in two languages. This is the usual breakdown:
| What they ask | What the agent does | When it hands off to a person |
|---|---|---|
| Availability and rates | Checks the dates and replies with the day's direct rate | Long stays or groups |
| Directions and check-in | Sends the location, check-in time and instructions | After-hours arrivals |
| Policies | Answers about pets, kids, deposit and cancellation | Exceptions to the policy |
| Booking and payment | Takes the details and sends the payment link for the deposit | Payments that don't go through |
| Guest on site | Handles requests for towels, transportation or late checkout | Complaints, always |
| Events and weddings | Asks for the date, number of guests and approximate budget | Always, with those details noted |
A typical inquiry comes in overnight and in English, because the guest is planning from another country:
WhatsApp's rules
Each message from the guest opens a 24-hour customer service window in which you can reply with free-form messages. To message them outside that window, for example to remind them about check-in or invite them back next year, you have to use approved templates, and the guest has to have agreed to receive your messages.[7] The WhatsApp Business policy also asks you to respect anyone who asks to stop receiving messages.[8]
Templates have one important detail if you host international guests: each template is created with a language code and Meta doesn't translate it. If you want to send check-in reminders in Spanish and in English, you need a version of the template for each language, and each one counts toward your template limit.[9]
Personal data in Mexico
Names, phone numbers, stay dates and payment details are personal data. In Mexico they're governed by the Ley Federal de Protección de Datos Personales en Posesión de los Particulares (Federal Law on the Protection of Personal Data Held by Private Parties), published on March 20, 2025.[10] The key piece is the privacy notice: telling the guest what data you keep and why, before or when you ask for it, and not using it later for something you didn't mention. If you want to invite your guests back, the notice has to say so.
This guide doesn't replace a lawyer. If you host guests from other countries or share data with agencies, it's worth reviewing your notice with one.
How it connects with what you already use
- Availability. If you use a channel manager or a property management system, the agent has to read availability from there. If it isn't connected, it doesn't confirm: it takes the request and says someone will confirm it. That way you avoid selling the same night twice.
- Payment. A payment link for the deposit, with the cancellation policy written in the same message.
- CRM. Every guest is saved as a contact with their source (Booking, Airbnb, Instagram, direct), their dates and their language. It's the list the platform has today and you don't.
How to tell if it's working
Five numbers a month are enough:
- Share of bookings that come through the direct channel.
- Time to first reply, day and night.
- Inquiries in English and in Spanish, and how many turn into bookings.
- Returning guests and which channel they booked through the second time.
- Commissions paid to platforms that month.
If today you don't know how many of your bookings are direct, that's the first finding.
Mistakes to avoid
- Inviting guests to book outside the platform from inside its chat. That's exactly what Airbnb prohibits.[5]
- A direct rate higher than the platform's. Guests compare in two tabs. If booking direct isn't a better deal, they have no reason to do it.
- Confirming without checking real availability. Overbooking in high season costs more than any commission.
- Templates only in Spanish. If half your guests speak English, half your reminders won't be understood.
- Forgetting about taxes. On a direct booking, you collect and report the lodging tax yourself.
Where to start
Before installing anything, El Tío looks at how your hotel or rental works today: how many inquiries come in, in what language, at what time, who answers them and what share of your bookings goes through platforms. The Audit is free: a 15 to 25 minute questionnaire and, within 24 to 48 business hours, a map of what's worth doing first. If what would help you most isn't something we do, we'll tell you.
