CRM for real estate: following up on pre-construction and rental leads

A lead from a listing site comes in at ten at night, three agents see it and nobody calls until Monday. This guide explains how to organize that follow-up in a CRM, what changes between pre-construction sales and rentals, what information Mexican law requires when selling pre-construction and which numbers are worth watching.

What a CRM for real estate is

A CRM is the single list of who asked about which property, where things stand and what's next. At a real estate agency, it replaces each agent's personal WhatsApp, the shared spreadsheet and the memory of whoever took the call.

What it isn't: a listing site, an accounting system or a tool that sells on its own. It works if every lead comes in automatically, gets assigned to one person and has a next step with a date. A WhatsApp agent helps with the first part: it replies within minutes, asks the questions the agent needs and books the showing.

Why the first hour matters

Studies on response time agree that a lead's interest cools off fast. In a study published in Harvard Business Review, companies that contacted a lead within the first hour were almost seven times more likely to qualify them than those that waited one more hour.[1] An earlier study by InsideSales.com with MIT, covering more than fifteen thousand leads from six companies, found that the odds of reaching a lead dropped 100 times when the call came at 30 minutes instead of 5.[2]

Neither study is about real estate, and the second was published by a company in the industry, without peer review, and measures contact rather than closed sales. Even so, the logic applies: someone who leaves their details on three listing sites on a Sunday night usually goes to a showing with whoever answers first.

Pre-construction and rentals aren't followed up the same way

One CRM can handle both businesses, but with separate pipelines, because the customer and the timelines are different.

A typical pre-construction inquiry, at an hour when nobody at the office is looking:

WhatsApp · 10:15 p.m. Hi, I saw the 2-bedroom pre-construction condo. What's the price and when is it ready? Hi. I'm the agency's AI assistant. Here's the listing sheet with the price in pesos, the payment plan and the delivery date published by the developer. Are you looking to live there or to invest? To invest. Do you accept mortgage financing? Yes, the listing sheet has the options. Want me to book you a showroom visit with an agent? I have an opening Saturday at 11:00 a.m. Sample conversation.

What the law requires when selling pre-construction

Selling homes has its own rules in Mexico, and the agent has to follow them just like your team does.

The Ley Federal de Protección al Consumidor (Federal Consumer Protection Law) covers anyone who builds, subdivides or sells housing, and requires their contracts to be registered with the Procuraduría Federal del Consumidor (Profeco, the federal consumer protection agency).[3] In pre-construction sales, the seller must display the complete construction plans, the scale model and, where applicable, the model unit; the same article lists the rest of the information that has to be available to the buyer, such as the property documents, the permits, the payment options with the total amount and the cancellation terms.[3]

NOM-247-SE-2021, published in the Diario Oficial de la Federación on March 22, 2022, spells out those requirements: the price must be offered in Mexican pesos, advertising must be truthful and verifiable, and you have to provide the contract's registration number with Profeco.[4]

In practice: the AI agent answers only from the listing sheet your team approved. Price in pesos, payment plan and delivery date exactly as the developer publishes them. If something isn't on the sheet, it doesn't promise it: it hands it to a sales agent.

When the anti-money laundering law applies

The Ley Federal para la Prevención e Identificación de Operaciones con Recursos de Procedencia Ilícita (Mexico's federal anti-money laundering law) treats building or developing real estate, and brokering its sale, as a vulnerable activity when done on a regular or professional basis. A notice goes to the authorities when the transaction is equal to or more than 8,025 times the daily value of the UMA (Mexico's reference unit). A reform published on July 16, 2025 added receiving funds for real estate developments meant for sale or rent.[5]

Rentals can fall under it too: leasing is a vulnerable activity when the monthly value is over 1,605 times the UMA, and the notice is required from 3,210 times the UMA per month.[5]

The CRM doesn't file notices. What it does is keep the client's details and the deal history in one place, which is what your compliance team will ask for. If your agency handles amounts close to those thresholds, check it with your lawyer.

Personal data and WhatsApp rules

A portal lead didn't message you on WhatsApp: they left their phone number in a form. To message them first on WhatsApp you need an approved template, and the person has to have agreed to receive your messages.[6] If the lead is the one who messages you, a 24-hour window opens to reply with free-form messages.[6] And the WhatsApp Business policy asks you to respect anyone who asks to stop receiving messages.[7]

A lead's details are personal data, and they're covered by Mexico's 2025 law: your privacy notice has to tell them what you keep and why.[8] A link to the notice in the AI agent's first message is a simple way to do it.

How to tell if it's working

Five numbers, every week:

  1. Time to first contact with each lead.
  2. Leads with no assigned sales agent or no next step with a date.
  3. Showings booked and showings done.
  4. Leads by source: each portal, Instagram, referrals, ads.
  5. Leads that went from showing to deposit or to contract.

With the source tracked properly, you know which portal brings you showings and which one only brings you messages.

Mistakes to avoid

Where to start

Before installing anything, El Tío looks at how your agency works today: where leads come from, how long they wait for a reply, who handles them and where they drop off. The Audit is free: a 15 to 25 minute questionnaire and, within 24 to 48 business hours, a map of what's worth doing first. If what would help you most isn't something we do, we'll tell you.
