WhatsApp chatbot for tours in Tulum and the Riviera Maya
In the Riviera Maya, a large share of the people asking about a tour write in English, from another time zone and with their trip already underway. This guide explains what a chatbot should answer, how to handle two languages on WhatsApp, how to take the booking with a deposit and what Mexican law requires when you state the price.

Who's messaging you
Cancún airport handled 29,345,538 passengers in 2025, and 19,464,554 of them were international, 3.5% fewer than in 2024.[1] Those are arriving and departing passengers, not individual tourists, but the ratio makes one thing clear: most people who fly into the region come from another country.
For a tour operator, that means inquiries in English, at hours when your team is asleep, and often from the hotel the night before. Whoever answers first and clearly usually gets the booking.
What it should answer
| What they ask | What the chatbot does | When it hands off to a person |
|---|---|---|
| Availability | Checks open spots for the date and time | Large groups or private tours |
| Price | Gives the total per person and per group, with what's included and what isn't | Discounts or agency rates |
| Meeting point | Sends the location or confirms hotel pick-up | Hotels outside the pick-up area |
| What to bring and requirements | Answers questions about minimum age, fitness level, clothing and cash | Health conditions |
| Booking | Takes names, hotel and phone number, and sends the deposit link | Payments that don't go through |
| Weather and cancellation | Explains the written policy on changes and refunds | Weather cancellations, always |
Two languages on WhatsApp
Within the 24-hour window that each customer message opens, the chatbot can reply with free-form messages in whatever language the customer writes in.[2] Outside that window, for example to confirm the pick-up time on the morning of the tour, you need approved templates and the customer's permission.[2][3]
Each template is created with a language code, and Meta doesn't translate it. If you want to send the confirmation in English and in Spanish, you need a version for each language, and each one counts toward your template limit.[4] The practical move is to save the customer's language on their contact from the first conversation.
The total price and the law
The Ley Federal de Protección al Consumidor (Federal Consumer Protection Law) requires you to state the total amount to be paid clearly and visibly, with taxes, fees and any other charges included.[5] For a tour, that includes park or cenote entrance fees, fees paid on site and the cost of pick-up if it isn't included.
The chatbot can't know what you didn't tell it. If an entrance fee is paid separately, it has to be written in the information it uses, so it says so before charging the deposit.
Personal data and bookings
Names, hotel, phone number and payment details are personal data and fall under the 2025 Mexican law, even if the customer is from abroad: your privacy notice has to say what you keep and why.[6] If many of your customers speak English, it's a good idea to have the notice in English too so they understand it.
If you also sell on tour platforms, there has to be a single source of availability. The chatbot books against the same spots as the platform, or it doesn't confirm until someone checks.
How to tell if it's working
- Inquiries by language and how many end in a booking.
- Time to first response outside your business hours.
- Bookings by channel: WhatsApp, Instagram, platforms, hotels.
- Customers who don't show up at the meeting point.
Mistakes to avoid
- A price that leaves out what's paid on site. The customer finds out at the cenote, and the review tells everyone.
- Confirming without real availability. If availability isn't connected, the chatbot takes the request and someone confirms it.
- Spanish-only templates. The morning confirmation has to arrive in the customer's language.
- Not asking for the hotel and a phone number that works in Mexico. Without those, the pick-up falls apart.
- Hiding that it's an AI. Saying so in the first message avoids misunderstandings, in any language.
Where to start
Before installing anything, El Tío looks at how your tour company works today: how many inquiries come in, in what language, at what time and how many end in a booking. The Audit is free: a 15 to 25 minute questionnaire and, within 24 to 48 business hours, a map of what to do first. If what would help you most isn't something we do, we'll tell you.
